UK - Senior Events Executive, Clients and Markets

The department

Hybrid workers – For the majority of our workforce, we have implemented a hybrid model whereby there is no minimum (or maximum) number of days they must work from an office location. Instead, we give them the freedom to decide with their team how efficiently and effectively they can deliver the best service to our clients, work with our colleagues and progress their own personal development whilst recognizing the need to adjust plans where circumstances require. Each hybrid worker is given an allowance to create a workspace in their own home

Purpose of role
  • To supervise and support the Business Development teams in the execution of both in-person and virtual client event activities from concept through to execution and evaluation
  • On occasions support the management and delivery of larger internal events
  • Delivery and support of events using Zoom, Microsoft Teams, and other virtual platforms
  • Liaises with the firm's event stakeholders to determine their precise event requirements
  • Produces detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing, and budgets)
  • Support with event budget management
  • Coordinates and instruct internal and external vendors/suppliers, ensuring quality and value standards are maintained
  • Co-ordinates venue management, caterers, stand designers, contractors, and equipment hire, where appropriate
  • Oversees complex internal processes across marketing and communications teams to promote events
  • Sourcing and booking suitable venues or locations
  • Ensures insurance, legal, health, and safety obligations are adhered to
  • Organizes facilities for car parking, traffic control, security, first aid, and hospitality
  • Identifies and secures speakers or special guests and manages room layout and the event program
  • Co-ordinates staffing requirements and briefings
  • Prepares delegate badges and collateral where required
  • Ensures stock of promotional materials
  • Works with the Creative Services team to ensure the firm's brand is promoted for the event and organizes the production of posters, brochures, etc, where required
  • Co-ordinates suppliers, handle client queries, and troubleshoots on the day of the event to ensure that everything runs smoothly
  • Oversees the dismantling and removal of the event and clears the venue efficiently
  • When required, undertakes post-event evaluation (including data entry and analysis and producing reports for event stakeholders)
  • To manage events calendar
  • To maintain event marketing documentation in an easily retrievable manner
  • Update the public and portal websites with event news and contributes to team-wide communications on events
  • Other tasks as assigned to fully meet the requirements of the position
Required experience, skills and attributes

Technical Skills

  • Experience working in a law firm or a professional services environment would be an advantage
  • Able to demonstrate experience in managing a number of events (including international ones) simultaneously
  • CRM systems
  • PC literate with a good working knowledge of MS Office, e.g. Word, Excel, Access, PowerPoint, and Outlook
  • Able to demonstrate a good working knowledge of Client Relationship Management (CRM) database, such as InterAction (IA)
  • A good understanding of client service and marketing plans
  • Experience in maintaining effective relationships with third-party suppliers, such as AV, Catering, and venues
  • Sound knowledge of UK venues to undertake effective venue searches
  • Experience in working with AV suppliers, venue-finding agencies, and other event suppliers.
